About the project

This risk management tool is a product of Qualyteam, developed as part of their quality control system, Genebra. Adhering to the ISO 9001 standards, it's designed to aid industries in managing and controlling their risks in a more straightforward manner.


Companies following ISO norms often struggle to manage all the necessary details to ensure the maintenance of their certifications. Genebra is a software designed to assist with quality control, guiding users through the ISO 9001 norms across various areas. Its Risk module simplifies risk management, leading users through the five stages defined by the norm.

The company

Qualyteam is active in the planning and development of software for quality management since 2008 with the main challenge of facilitating the management of companies. With more than 40,000 users, it is a reference in simple solutions for quality management.

Research strategy

Stakeholders and team meetings

In initial meetings, we defined the company’s goals, timeline, and product vision. Collaborating with various teams ensured our ideas were realistic and aligned with company and user interests. The co-creation model provided multiple perspectives throughout the project.

Studying ISO 9001

ISO 9001 norms are complex, so conceptual accuracy was crucial for guiding users in risk management. I studied the norms, took a certified course, and included a specialist in every meeting to ensure precision.

The personas

Qualyteam/Genebra have different personas, including managers, industry floor workers, secretaries, and interns. Most are involved in this project, as risk management goes through definition, analysis, planning, action, and final evaluation.

Users interviews

I interviewed users from different industry areas (health, transportation, logistics, food), to make sure we would have different points of view and would be able to create a product that could cover all of our user needs.

Quantitative research

Questionnaires confirmed previous user interview feedback and clarified user needs and priorities. While enhancing the dashboard was a opportunity, the immediate priority was ensuring users could manage risks accurately, even without ISO 9001 knowledge.

Benchmarking

I studied similar products and Qualyteam’s older softwares to improve user experience. We also analyzed Hotjar recordings from the older products to identify strengths and potential issues.

Most of the companies use Microsoft Excel for at least a part of the risk management, which can lead to ISO 9001 mistakes.

Users want to be able to come back to older steps of the management during the process and to have all steps on the same screen.

Different risks are managed in different ways. We should offer different levels of risks to facilitate this management.

It would be good to limit who can see each step or risks in order to maintain the companies hierarchy and control information.

Information architecture

Together as a team, we outlined all the features for the final product, including those planned for future implementation. In this map, I detailed the basic user journey and information architecture defined. Having this ensured we could expand Genebra smoothly and without issues.

I started with a low-fidelity prototype and conducted usability tests with ten employees. Feedback highlighted areas for improvement, such as screen organization and button hierarchy. With this changes, we developed the official prototype, designing both mobile and desktop versions, despite 90% of the customers uses only desktops.

We tested the product with 15 customers and 5 employees. Thirteen customers tested the desktop version, while employees and the rest tested the mobile version. Feedback highlighted areas for improvement, such as button colors, transition effects, and icon inclusion. We updated both the product and the design system, benefiting future projects.

Final results

    Follow up

    In the final phase, I supported the development and QA teams, created user stories, and ensured everything was organized for release. I reviewed each project component for perfection and adherence to the plan. After successful official product tests, we monitored it with tools like Hotjar and enhance the product with new features.
